How do I book a coach for a college, sport or societies event?

To book a coach for any college, sports fixture or societies trip or event - you must do this directly through York SU Helpdesk and the transport team. Please do not approach coach companies directly, but instead refer to the guidance in this guide here as to how to go about making a coach booking.


Please book at least 2 full weeks in advance of your required booking, but aim to not book too far (over 6 weeks) in advance due to the risk of cancellations linked to weather or fixture changes.


A summary of the coach booking process is below, but please refer the more detailed guide and if you have any further questions email [email protected] or speak to one of our Helpdesk Assistants at York SU in person.


How do I hire a coach?

  1. Complete our transport booking enquiry form at least 2 weeks in advance of your journey. This needs to be signed by a signatory to confirm they are happy with the allocation of funds.

  2. York SU Helpdesk will then obtain a quote.

  3. York SU Helpdesk will confirm you are happy with the price.

If you agree to the price, York SU Helpdesk will create a purchase order that will be sent to Pullman, your club, and York SU finance.


Cancellation by hirer

If the hirer wishes to cancel any agreement, the following scale of charges will apply in relation to the total hire charge.

3-5 days

25% of the hire

70% of the hire

1-2 days

50% of the hire

85% of the hire

Day of the hire (before arrival of the coach at departure point)

Minimum of 85% of the hire

Minimum of 85% of the hire

Any time after the coach has arrived

100% of the hire

100% of the hire
