How do I book a room? // I’m having trouble with Planon!

To book most on-campus rooms, you’ll need to use the University’s room booking system, Planon. If you’re having trouble using Planon, first ensure that you are connected to the University Network or using the Virtual Private Network. Room bookings must be made using your personal York account (e.g. abc123) rather than your student group email address. If you’re still having trouble with Planon, the best thing to do is to contact the Room Bookings office directly at [email protected] or on 01904 324 500.


All the information you need can be found in the Student Resource Hub. In particular, these pages explain how to organise an event, so be sure to follow it through.


It varies depending on the type of event and the location, but you may need to complete a budget, a risk assessment, an event management form, an off-campus events notice and a room booking.
